Best Pilates Studio Software for 2026 (5 Platforms Compared)
Compare the best Pilates studio management software and find the right fit for your studio, from scheduling and session packs to billing, member apps, and the analytics that show you what's working.

The best Pilates studio software in 2026 brings together class and session scheduling, automated billing, membership and session-pack management, and a client portal in one unified platform. AI-native options like 1club stand out for saving time and automatically surfacing insights, while legacy platforms like Mindbody offer more features but come with a steeper learning curve. The right choice depends on your studio size, budget, and how much time you want to spend managing software.
How Pilates Studio Software Helps You Stay Competitive in 2026
Running a Pilates studio in 2026 means managing group classes, private sessions, session packs, instructor schedules, and memberships — all while delivering a great client experience. According to IBISWorld research, over 40,000 yoga and Pilates studios operate in the United States, with the global market projected to reach $66 billion by 2027. That growth brings higher client expectations and more competition for every spot on the schedule.
The right Pilates studio management software automates admin, gives you clear visibility into your business, and helps you keep clients coming back. The wrong software wastes time, frustrates clients, and holds your studio back.
What makes great Pilates studio software in 2026?
Your fitness studio management software should:
- Save you time by automating scheduling, billing, reminders, and routine admin work
- Give you clarity with real-time insights into attendance, revenue, and client retention
- Adapt as you grow from solo instructor to multi-teacher studio without forcing a platform switch
- Be intuitive so you and your team can focus on teaching, not learning software
Quick Answer: The best Pilates studio software in 2026 balances powerful features with ease of use. AI-native platforms like 1club stand out for automation and modern workflows, while established tools like Mindbody and Glofox offer broader feature sets at greater cost and complexity. The right choice depends on your studio's size, growth stage, and how much you value simplicity.
Key Features of the Best Pilates Studio Management Software
The best Pilates studio management software goes well beyond basic class scheduling. Here's what top platforms deliver in 2026:
Core Capabilities:
- Class and session scheduling - Manage group classes, private sessions, and workshops with real-time availability and capacity controls. Good fitness class scheduling software makes this effortless for owners and seamless for clients.
- Session packs and membership management - Track client information, pack balances, attendance history, and membership status in one place. This is where fitness membership software earns its keep.
- Automated billing and payments - Process recurring memberships, session pack purchases, and one-off payments with automatic retry for failed payments. Automated billing for gyms and studios is a baseline expectation in 2026, not a premium feature.
- Client portal and mobile app - Give clients 24/7 self-service access to book sessions, manage their accounts, and track their progress. A strong fitness booking software experience keeps clients engaged between sessions.
- Instructor management - Assign instructors to classes and appointments, manage permissions, and track performance
- Communication tools - Send automated reminders, promotional messages, and follow-ups via email and SMS
- Business reporting and analytics - Monitor revenue, attendance patterns, class performance, and retention in real time
- Online waivers and forms - Collect digital intake forms and liability waivers seamlessly during sign-up
What Differentiates the Best Solutions:
AI Automation for Fitness Businesses - In 2026, the key difference is whether AI is built in from day one or added later. AI-native platforms like 1club use AI automation across the whole platform to help owners spot what matters, reduce repetitive work, and run daily operations more efficiently — with less manual setup.
Actionable Analytics - The best platforms don't just show you data, they help you understand what it means and what to do about it. Research from McKinsey shows that businesses actively using analytics are 23 times more likely to acquire customers and 6 times more likely to retain them. AI that automatically highlights key trends means you spend less time digging through reports.
Ease of Use - Pilates studio owners shouldn't need technical training to manage their business. The best fitness studio management software features intuitive interfaces with minimal learning curves for both owners and clients.
Member Experience and Branding - Your branded website and mobile app are often the first touchpoints clients have with your studio, and they directly impact retention. According to user experience research from Forrester, 88% of online users won't return to a website or app after a poor experience. The best platforms provide seamless class booking experiences with fully branded portals and apps that reflect your studio's identity.
True All-in-One Platform - The best boutique fitness studio software eliminates the need for multiple tools. Scheduling, billing, marketing, and member experience should all work together.

Capterra review
#2 Pilates studio software - Mindbody

Mindbody is the industry veteran with the largest market presence and an extensive feature set built over two decades. It's a viable option for larger, established studios that need deep customisation and access to the Mindbody consumer marketplace, but that breadth comes with a steeper learning curve and higher cost than most boutique fitness studio software options.
- Plans and packaging: Multiple tiers based on business size
- Pricing transparency: Partly public
- Free plan: No
- Free trial: After demo
- Capterra rating: 4.0/5
Key capabilities:
- Comprehensive class and session scheduling with recurring class management and flexible booking rules
- Global consumer marketplace connecting studios with potential clients searching for fitness classes
- Extensive third-party integrations and API access for custom development
- Point-of-sale system for retail and merchandise sales

What users say about Mindbody:
"Some good tools, but missing some pieces"
Overall, many good tools, a little difficult to navigate, difficult to pull client statistics, frequently not accurate, buggy. Easy to schedule, has area for SOAP notes, easy checkout process, ability to create bundles and installment payments. Poor CRM tools, SOAP notes limited character fields - not nearly enough space! Also cannot download simple client contact lists.
#3 Pilates studio software - Glofox

Glofox is a mobile-first platform focused on member engagement through custom-branded apps and a streamlined fitness booking experience. It's a solid mid-market option, though reporting depth and customisation can be limiting as studios scale.
- Plans and packaging: Custom pricing based on studio needs
- Pricing transparency: Request a quote
- Free plan: No
- Free trial: After demo
- Capterra rating: 4.4/5
Key capabilities:
- Custom-branded mobile apps for iOS and Android with your studio's branding
- Member engagement tools, including push notifications and in-app messaging
- Flexible membership and session pack options with automated billing
- Performance tracking and business analytics dashboards
- Fitness studio scheduling software with email campaigns and member segmentation
What users say about Glofox:
"It gets the basics right. And that's about it." - Millie S.
Reporting is very basic. For all the info you put into this app, absolute nothing is exportable. You cannot run any of your own reports, or even export data out (only the most basic data). Want to find out how many classes "Bob" has come to for the last 3 months so you can reward them? Well, you'll never know without going into every single class and manually counting.- Support is very slow and most answers are "we can't do that". I regularly receive "We are experiencing a high volume of questions" email. - They're pushing Amplify for customer journeys/communications meanwhile you can't even do basic reporting to tag or segment your own customers in the first place. Their priorities are really out of whack.- No google calendar integration- No gamification- No way to report cash purchases.I simply do not have the functionality I need on reporting to do effective lead marketing, KPI measurement, etc. As a result we have to find another system
Setting up the software was easy (coming from no system, so we didn't do any conversion).- It does the basics well (scheduling). The app is reliable and our clients have not found it difficult to use. - We like the flexibility/modularity of the fields dictionary to use language appropriate for our business.- We haven't noticed any latency issues or app downtime.
#4 Pilates studio software - WellnessLiving

WellnessLiving specialises in wellness businesses with strong marketing automation and loyalty program features built for studios. It's a cost-effective option for smaller studios, though reliability concerns appear in user reviews, and its integrations are more limited than those of larger platforms.
- Plans and packaging: Tiered plans for different business sizes
- Pricing transparency: Partly public
- Free plan: No
- Free trial: Yes, demo available
- Capterra rating: 4.4/5
Key capabilities:
- Loyalty rewards program to increase client retention and referrals
- Advanced marketing automation with email, SMS, and promotional campaigns
- Dynamic pricing options for popular class times
- Client self-check-in with contactless options and attendance tracking
- Reporting on revenue, attendance, and client lifetime value
What users say about WellnessLiving:
"Nice People, Poor & Unreliable Product" - Tekeisha Z.
The people who work in customer service are helpful. But if a product is unreliable, that means little. It is a cost effective product for a new, growing studio. But once you can afford something different, you really should try another service that is more reliable.
The system is completely unreliable. On my opening day, there was a system wide outage that lasted almost 24 hours. I could not check in clients, take payments, or conduct business. This is not the only time this has happened. For larger studios, this may not be an issue but for small businesses like mine, letting a customer walk out of the door because you cannot get them into your system due to downtime is a really big deal. It is also cumbersome when you try to get people to create an account because everything is routed through their backend. Wellness Living also does not have APIs that integrate with much of the popular software that allows you to market to clients (e.g. Class Pass) and it does not integrate with systems like Netgym which allow scheduling support. If money is an option, try them. But they are a short term solution. I have had multiple days when my instructors could not sign in, we could not check people in, or we could not accept money because the system was down. They really need to do better.
There are many features and the system is cost effective for smaller studios like mine. You generally hear back from someone in the company when you need them within 24 hours.
#5 Pilates studio software - Zen Planner

Zen Planner offers comprehensive studio management software originally built for CrossFit boxes but adapted for fitness and wellness studios. It covers the core bases well, with robust member management and gym billing software functionality, though it can feel more generic for Pilates-specific workflows.
- Plans and packaging: Multiple tiers based on member count
- Pricing transparency: Public
- Free plan: No
- Free trial: Yes
- Capterra rating: 4.3/5
Key capabilities:
- Robust member management with detailed profiles and attendance history
- Automated billing with smart payment retry and failed payment recovery
- Customizable member portals for self-service account management
- Lead management and sales pipeline tools for growing your studio
- Workout and progress tracking (more relevant to fitness than Pilates-specific workflows)
What users say about Zen Planner:
"Wanted to Like it more than I actually did" - Alec R.
“I was excited to use the program while touring and testing it, but the program performed just under expectations on some features, and mediocre on the rest. I'm sure there have been updates to some of the program since we used it but friends of mine continued on it until this year and always complained about its limitations, so maybe not updated enough (?).
We run both fitness and martial arts classes. We had to choose between the standard (martial arts) and the fitness-centered beta version but could not have both. This meant we could either have the cool features of the beta or rank management for the different martial arts programs.
Integrated a nice workout planner/calendar and timer for public display directly through the app. Good member profile management.”
Tips for selecting Pilates studio management software
The right fitness studio management software should reduce admin, improve the booking experience, and give you clear visibility into how your business is performing. Here's a practical checklist:
- Get clear on your setup. Solo instructor or multi-teacher team? Group classes, private sessions, session packs, or all three? Write down what you offer today and what you'll add as you grow.
- List your must-haves. At minimum, prioritise class and session scheduling, automated billing, session pack management, and a client portal or app that's easy to use. These are the foundations of any good fitness booking software.
- Shortlist 3–5 platforms. Use verified reviews, studio owner feedback, and vendor documentation to narrow to realistic options for your budget and complexity.
- Compare workflows, not just feature lists. Test how fast you can complete common tasks: create a class, set cancellation rules, sell a session pack, handle a failed payment, manage a waitlist, and message a segment of clients.
- Evaluate the client experience. Check booking speed, mobile usability, and how well the website, widgets, and app reflect your studio's brand — this is what your clients will interact with every day.
- Ask about reporting and actionable insights. Look for analytics that help you take action (class fill trends, retention signals, at-risk clients), not just charts you have to interpret yourself.
- Verify onboarding, support, and migration. Confirm what help you get during setup, how data import works, and what support channels are available when something goes wrong.
- Choose something that scales. Make sure the platform can grow with you - more instructors, more sessions, more locations, without forcing a painful switch later.
- Review pricing and terms carefully. Understand what's included, what costs extra, and how upgrades and cancellations work. No surprises.
Summary: Choosing the Best Pilates Studio Software in 2026
There's no single best Pilates studio software for everyone. The right choice depends on your studio's size, growth stage, budget, and how much time you want to spend on admin.
Key factors to consider:
Simplicity vs. Complexity — Newer platforms like 1club prioritize intuitive interfaces and quick setup, while legacy systems like Mindbody offer more features but steeper learning curves. Ask yourself: do you want to spend time learning software, or teaching Pilates?
AI-Native vs. Traditional — AI-native platforms build intelligence into every aspect of the product, from setup to daily operations. AI automation for fitness businesses is most powerful when it's part of the platform architecture — not a feature added later.
Pilates-Specific Fit — Generic gym software often misses the mark for Pilates studios. Look for platforms that handle the specifics well: private and group session scheduling, session pack tracking, instructor assignments, and a class booking experience that reflects your brand.
Scalability — If you're starting small but have growth ambitions, choose fitness business software that scales without forcing a migration later. Look for platforms with clear free or low-cost entry points and transparent upgrade paths.
Transparent Pricing — Platforms with public, straightforward pricing (1club, Zen Planner) eliminate surprises and make budgeting easier. Custom pricing models often hide costs that add up quickly.
Our recommendation: For Pilates studios looking for modern, intelligent studio management software that saves time and supports growth, 1club offers the best balance of powerful features and intuitive simplicity. Its AI-native approach eliminates the frustrations of legacy platforms while providing the capabilities your studio needs — at transparent, accessible pricing. The free plan lets you start immediately, no credit card, no complex setup.
For larger, established studios with technical resources and the budget for complexity, Mindbody remains the most feature-rich option, despite its higher cost and learning curve. WellnessLiving and Glofox offer solid mid-market options, while Zen Planner is a reliable choice for studios that want straightforward management without the frills.

Frequently Asked Questions
What is the best Pilates studio management software?
The best Pilates studio software depends on your studio's size, growth stage, and how much time you want to spend on admin rather than teaching. Look for a platform that handles class scheduling, session packs, automated billing, instructor management, and member communication in one place, with transparent pricing and a setup that doesn't take weeks to learn. Start free with 1club today.
How much does Pilates studio software cost?
Pricing varies based on features and studio size. 1club offers a free plan for studios with up to 100 active members, with paid plans scaling from $63/month. Mid-market platforms like WellnessLiving and Zen Planner typically start around $89–$117/month. Premium tools like Mindbody and Glofox require custom quotes and can run $129/month or more. Always check what's included versus what costs extra - pricing can vary significantly once add-ons are factored in.
How do I switch from my current Pilates software?
Migration difficulty varies by platform. AI-native platforms like 1club offer guided onboarding and data migration that reduces manual work and eliminates the need for expensive migration services. Before switching, confirm you can import your core data: client profiles, memberships, session packs, and schedules.
What features reduce no-shows the most?
The biggest no-show reducers are automated reminders (email/SMS/push), easy rescheduling, and clear cancellation rules shown at booking. Waitlists with auto-fill help keep classes full when someone cancels late. Many studios also use no-show fees or class-forfeit rules to discourage last-minute drop-offs.
What is a reformer Pilates booking app?
A reformer Pilates booking app is a mobile app - either the studio's own branded app or a member portal - that lets clients book reformer classes and private sessions, manage their session packs, and receive schedule updates. Platforms like 1club let you offer this experience under your own brand, with your name, logo, and colors, through the Branded Mobile App add-on.
